Project Alpha Oil – Intelligent Terminal Orchestration

Eliminating Planning Silos and Institutional Knowledge Loss in High-Risk Logistics

The Mission

To move from fragmented Excel-based planning to a unified, AI-assisted platform that institutionalizes knowledge.

Role

Lead UX/UI Designer & Strategic Facilitator. Pivoted project to a Data Science collaboration.

πŸ“Œ The Strategic Vision

The Lead Architect

In complex terminal operations, planning is often the "Achilles' Heel." I identified that the lifting planning process was dangerously dependent on individual "Terminal Planners" working in silos, creating a high-risk environment when personnel changed yearly.

The "Lead" Move

I pivoted the project from a simple digitization task to a Data Science collaboration, introducing predictive planning to the core UX.

πŸ›οΈ The Crisis of "Yearly Knowledge Decay"

The Strategy

I approached this as a Knowledge Management problem as much as a logistics one.

  • The Silo Bottleneck: Terminal Planners spent two weeks every month manually building plans in Excel, isolated from historical data.
  • The Turnover Risk: With planners rotating annually, the "Brain Drain" was constant. New planners struggled with incomplete or inaccurate data left by predecessors, jeopardizing the upcoming months' schedules.
  • The Presentation Friction: Planners were trapped in "Manual Export Hell"β€”moving data from Excel to multiple PowerPoint slides just to present upcoming 3-month forecasts.

🎨 Experience Design & Predictive Logic

The Designer Eye

Design was used to bridge the gap between "Manual Control" and "AI Assistance."

Due to the high confidentiality of the data and improved logistics workflows, no UI mockups or dashboard screenshots can be publicly displayed for this project.

The Unified Planning Workspace

I designed a centralized online environment that replaced fragmented spreadsheets. All data is saved as a live draft, ensuring that even if a planner leaves mid-process, the logic remains for the successor.

The "Killer Feature" (Predictive Logic)

During design workshops, I identified an opportunity to utilize historical data. By inviting the Data Science team into the UX process, we co-created a feature that auto-calculates lifting plans based on previous months' patterns.

The Human-in-the-Loop UX

To maintain safety and trust, the UI allows planners to have the "Final Say"β€”the AI suggests the plan, but the expert edits and validates, ensuring technology augments human expertise rather than replacing it.

Live-Presentation Dashboards

I eliminated the need for PowerPoint by designing a "Presentation-Ready" view within the app, allowing stakeholders to view 3-month rolling forecasts in real-time.

βš™οΈ Technical Governance & Delivery

Execution

Agile Orchestration

Collaborated with a team of developers, testers, BAs, and Product Owners to move from concept to delivery within a strict 6-month timeline.

Confidentiality & Risk

Managed the design process for high-risk data environments, ensuring that system integrity and data security were prioritized at every stage.

Stakeholder Management: Navigated requirements from multiple departments to ensure the complex data science logic was translated into a simple, "few-click" user interface.

πŸ“ˆ The Outcome: Measured Operational Excellence

50% Faster
Onboarding Velocity
Reduced new planner onboarding time from 2 Days to 1 Day.
Minutes
Drafting Speed
1st draft of a lifting plan now takes minutes instead of 2-3 days.
Zero-Export
Workflow
Eliminated PowerPoint reporting, creating a "Single Source of Truth".
100%
Institutional Memory
Robust data legacy ensuring data continuity despite turnover.

πŸ’‘ Final Reflection

"Project Alpha Oil proved that the most valuable 'Design' often happens at the process level. By identifying the yearly turnover as a systemic threat and integrating Data Science into the UX, I didn't just build an app; I built a Resiliency Engine for the enterprise."
